How do I send Task Assignment Notifications and Reminders automatically over email?

You can assign Tasks and Subtasks to collaborators and they will receive Notifications and Reminders automatically over email.


How do I assign Tasks?

You can assign a Task and set Due Dates from the Checklist view or from an individual Task view by clicking into that Task.

Tasks can be assigned to multiple Assignees. You can also select multiple Tasks at once to Assign them and set Due Dates.


How do I assign Subtasks?

Subtasks can be assigned to one or multiple Assignees from the individual Task view by clicking into that Task.


How do I Assign and Invite a new collaborator in one step?

When you go to Assign a Task, you'll see the current Event Staff for that event in the list of available Assignees.

If your collaborator has not yet been invited as Org Member, you can invite them to join your Org, add them as Event Staff and assign them to the Task in one step.


Do newly invited Assignees need to confirm their EventGeek account to update a Task?

Newly invited Org Members will receive a Welcome email and a new Assignment Notification email.

Newly invited Org Members can update the Status of a Task, as well as add Comments and Attachments to that Task, from the Assignment Notification and Reminder emails they receive, without confirming their account.


How do I send a New Assignment Notification email?

New Assignment Notification emails are automatically sent to Assignees 3 minutes after they are given a new assignment.

If you assign yourself a Task, you will not receive the initial New Assignment Notification, but you will receive subsequent Reminders about that Task.

Note that Assignees can batch their new Assignment Notification emails into daily or weekly digests using their Email Subscription Settings.


How do I send Assignment Reminder emails on Tasks that are due soon?

If a Task hasn't been marked as completed by the Due Date, the Assignees will automatically receive Reminder emails.

Assignment Reminder emails are sent 3 days before, 1 day before and 2 days after the Assignment is due.


How can I remind Assignees to begin a Task before its Due Date?

In addition to the standard reminders around a Tasks Due Date, you can also set a "Reminder to start" Date for each Task. To do this, click into the individual Task view and select Reminder to start from the right hand menu. Next, select the date when the Assignee should begin the Task.

The Assignee will receive an automated email, similar to the Assignment Reminder email, on the date you choose. 


How do I reply via email to update Status or add a Comment or Attachment to a Task?

Assignees can reply to Notification and Reminder emails to add Comments or Attachments to the Task. They can also reply with the single word "completed" to update the Task Status.

Note that you can Assign Tasks to new collaborators and Invite them to the EventGeek platform, and they will be able to update Task Status, add Comments or Attachments without having to confirm their EventGeek account first.


How do I manage my Assignment Notification and Reminder email settings?

You can control the frequency of your Assignment Notification and Reminder emails from the Email Subscription Settings on your Profile.

There are options to batch Notifications into daily or weekly summary or to disable them entirely. Please note that EventGeek must offer an unsubscribe option to Org Members to comply with CAN-SPAM regulations.
